What we do.
Most businesses have tried AI in some form. They have used ChatGPT to write emails, set up a Make scenario to move data, or installed a chatbot on their website. That is useful. It is not where the real leverage is.
The real shift happens when AI is connected to the actual workflows of the business: the enquiry that comes in at 11pm, the follow-up that never gets sent, the document that needs chasing, the admin task that takes three steps and eats an hour every day. That connection is what we build. We call the result an AI employee.
An AI employee is not a chatbot. It is not a prompt library. It is a configured operating system for a specific job inside your business: enquiry handling, lead follow-up, document management, compliance tracking, reporting, or any combination of the repeatable operational work that eats your week. It runs in the tools you already use. It handles the operational layer so your team can focus on the work that actually needs them.
We offer this at two levels. Local businesses can start with one well-defined outcome through managed operations. Businesses with more complex knowledge and operational needs can build a wider Business Operating System. The operator philosophy.
The AI industry has an agent-washing problem. A lot of agencies have relabelled what they already did, added "AI" to the company name, and carried on. Very few have actually shipped a working AI operator for a real client and stayed to manage it.
Our philosophy is the opposite of that. We ship first, then we manage what we shipped.
That means:
Working operators, not demos. Every AI employee we build has a job description, a scope it stays inside, a QA layer, human review gates for anything consequential, and an escalation path for when it is not certain. It leaves a trail: handled enquiries, sent follow-ups, filed documents, flagged anomalies. You can measure whether it is working. If you cannot measure it, it is not an employee.
Managed on an ongoing basis. The businesses that get the most from AI employees are not the ones who bought a setup and left it. They are the ones whose system is monitored, refined, and updated as the business changes. We stay involved because the first version of anything is never the last version.
Honest about what AI cannot do. It cannot replace human judgment on high-stakes decisions. It cannot make a bad business good. It cannot substitute for a real relationship with a client. What it can do is handle the repeatable, rule-governed, document-heavy work that is eating your week, so you and your team can do the work that actually needs you.
This philosophy came directly from building our own business on these methods. ScottishWill, our sister business, is a live Scottish will-writing service with guided intake, deterministic document logic and controlled case automation. No LLM touches the legal document. It is not a demo environment. It is a real business with real customers. That is the proof that the method works, and it is what we bring to every client engagement.

How it works.
Step 1. AI Ops Review (£750, 45 minutes) We look at how your business actually runs today: where leads come in, how follow-up happens, what gets dropped and what the owner is spending time on that an AI employee could handle. You receive a written plan after the session.
Step 2. We design the operator We map the workflows that would have the biggest impact, price a fixed managed-ops engagement, and show you exactly what the AI employee will do before we build anything.
Step 3. We build and manage it We build the system, connect it to your existing tools, and manage it on an ongoing basis. You approve the outputs. The AI employee handles the operations.
Most clients see a difference within two weeks: enquiries answered, follow-up firing, the owner's phone quieter.

Who we are.
Assist IQ was founded by Ross Gordon, an operator who spent 19 years in oil and gas operations before building an AI-operated will-writing business from scratch. He runs the same methods at Assist IQ that he built and proved at ScottishWill. The build and delivery layer is the Jarvis fleet, an always-on AI operations stack that researches, drafts, builds, and manages the systems Ross designs and approves.
We are a small team. You talk to the person who built the system, not a junior account manager. Our own business runs on the method we sell.

Is Assist IQ right for a business my size?
Assist IQ is designed for owner-led businesses with a clearly defined operational problem, such as repeated enquiry handling, follow-up, document movement or reminders. The first job is to measure that process and decide whether automation is appropriate. The £750 AI Ops Review gives you a written decision and priority order before you commit to a wider build.
Do we have to use a specific CRM?
We provide and manage a CRM as part of the managed operations offer. If you already have a CRM you rely on, we will tell you honestly whether it makes sense to move, or whether the right approach is to work with what you have. We do not lead with tools. We lead with the operational outcome you need.
What makes Assist IQ different from a freelance automation agency?
Three things. First, we stay: this is a managed service, not a setup-and-handover. Second, we combine VA, automation and CRM into one operating layer rather than selling each piece separately. Third, we can show you a running business that uses our own method, ScottishWill, which handles its entire operational layer through an AI employee we built and manage. Most agencies cannot show you that.
How do you protect client data?
For Business Operating System engagements, every client's knowledge corpus lives in an isolated local vault. It never touches shared systems. We use signed data processing agreements before any ingestion begins, and every engagement ends with a documented data wipe. Client data isolation is an architectural invariant, not a policy preference.
