Industries - AI automation for hospitality businesses in Scotland

Assist IQ builds and manages AI employees for hotels, B&Bs, restaurants and hospitality businesses across Scotland. We handle the operational layer that costs hospitality owners the most time: missed booking enquiries, no-show follow-up, review collection and front-desk admin. One managed operating layer keeps the work moving while your team serves guests.

01

The problem is not that hospitality is hard. It is that the admin never stops.

You are not short of demand. You are short of time to respond to it properly.

A guest messages at 10pm asking about availability for a Friday stay. Nobody sees it until 9am. By then they have booked somewhere else. A table does not show. You had no reminder system, so you absorbed the loss. Your last twenty guests had a good stay, but three of them mentioned it to friends and none of them left a Google review, because nobody asked at the right moment. Your front desk handles the phone, the inbox, the walk-ins and the daily handover notes all at once, and something always slips.

This is not a staffing problem in the conventional sense. Hiring another person does not fix a system that is not designed to capture and follow up on every interaction. It just adds another person to manage.

The real cost shows up in three places: leads that enquire and never book, guests that booked and never came back, and time the owner spends on operational tasks that could be handled by a well-configured system.

02

What an AI employee does for a hospitality business.

An AI employee is not a chatbot on your website. It is a connected operating system for a specific job inside your business: configured for your venue, your booking flow, your policies and your guests. It runs inside the tools you already use.

For a hotel, B&B or restaurant, the highest-return roles for an AI employee are:

Enquiry and booking handling. Every inbound enquiry, whether via email, web form or social message, gets an immediate, personalised response at any hour. Availability questions get answered. Booking links get sent. Follow-up fires automatically if the guest does not complete a reservation. No lead sits unanswered overnight.

No-show and cancellation follow-up. An automated sequence contacts a guest who has not confirmed their booking, sends a reminder at the right window, and handles the cancellation conversation if they cannot make it. You recover some bookings and lose less to silent no-shows.

Review collection. After checkout, a timed sequence contacts the guest and makes it easy to leave a Google review or a TripAdvisor review. The timing, the message and the follow-up are all handled. For businesses where reviews directly drive room bookings, this is one of the most measurable returns in the system.

Front-desk admin and guest comms. Pre-arrival information, check-in instructions, local recommendations, post-stay follow-up. All of this can be templated, personalised and sent automatically, freeing the front desk to handle the interactions that genuinely need a human.

This is what we mean by managed operations: the whole system, built, connected and maintained by Assist IQ, so you get the outcomes without managing the tool yourself.

03

A hospitality business, before and after.

The following is an illustrative workflow, not a client result. Consider an independent guesthouse where the owner handles enquiries from a shared inbox, sends check-in instructions manually and asks for reviews when time allows. Enquiries outside staffed hours wait until someone is available.

After an AI employee is installed for enquiry handling and review collection:

  • Every enquiry outside business hours receives an immediate personalised response and a booking link
  • A timed post-checkout message goes to every guest with a review request
  • Pre-arrival instructions go out automatically 48 hours before check-in
  • The owner stops managing the inbox for routine guest comms

The expected operational change is a consistent process, not a promised occupancy or review increase. A live result will only be added after a hospitality client completes delivery and approves publication. See the current approved case studies.

04

What it costs.

Our managed operations service is scoped around one defined role, built to your venue and your processes, then managed by Assist IQ on an ongoing basis. The £750 AI Ops Review maps the first role and the controls it needs.

For businesses with more complex needs, including multi-property operations, bespoke knowledge systems or front-desk automation across several workflows, we scope the build first. We tell you honestly what your operation needs and what it would cost before you commit to wider work.

We do not publish pricing for bespoke engagements because it depends on what you are running. The paid entry point is the £750 AI Ops Review.

Any broader build is priced from the approved scope rather than a generic package.

05

Frequently asked questions.

Does this replace my front desk staff?

No. The AI employee handles the repeatable layer: enquiries that follow a pattern, review requests that go out after checkout, pre-arrival messages, booking follow-up. The interactions that need a human, a guest with a complaint, a late check-in with a special request, a regular who calls by name, stay with your team. The goal is to free your staff for those conversations, not to remove them.

Will it work with the booking system I already use?

We build the AI employee around your existing tools wherever possible. Common hospitality stacks including booking engines, channel managers and communication tools are compatible with the automation layer we use. We confirm compatibility in the AI Ops Review before any build begins.

What if a guest asks something the AI employee cannot handle?

The AI employee is configured with your venue's policies, FAQs and booking rules. If a question falls outside what it can handle confidently, it flags the conversation for human review rather than guessing. The escalation path is set up as part of the build. Nothing goes out that you have not approved in advance.

How is this different from a chatbot on my website?

A chatbot answers questions when a guest types into a box. An AI employee works across your entire communication layer, inbox, forms, post-stay sequences, review requests, pre-arrival messaging, and takes actions rather than just generating responses. It does not wait to be asked. It handles the work as it comes in, at any hour, with the context of your specific venue and policies. Read more about how AI employees differ from chatbots.

06

Is this right for your hospitality business?

The businesses that get the most from an AI employee in hospitality have one thing in common: they are missing revenue or time because their system for capturing and following up with guests is inconsistent. If late-night enquiries go unanswered, if review collection is manual and sporadic, if your front desk is stretched across too many channels at once, the AI employee closes those gaps.

If you want to see what an AI employee would look like for your venue, the first step is the £750 AI Ops Review. We map how the operation runs today and provide a written plan showing whether this is the right fit.
